Team overload indicators

This feature lets coordinators quickly assess the document assignment levels of all team members.

When you expand the Team item in Project Management view, you see the number of documents assigned to each member. This lets you see if anybody is overloaded.

Team workloads are displayed in two different ways, depending on whether a maximum workload has been set during configuration.
  • If no maximum workload has been set for a given role, Project Management view simply shows the number of documents assigned. In the screen shot below, you can see that the team member has one document assigned to him in the role of Project Coordinator.
  • If a maximum workload has been set for a role, then the workload displays as a percentage of the maximum. In the screen shot below, you can see that three of the team member's roles have been configured that way: Author, Information Architect, and Reviewer.
Maximum workload is the maximum number of documents of a given type that an individual can be assigned in a given role. This number is configurable and may be different in your installation.
Note: The numbers shown in Project Management view reflect all of a team member's assigned documents in all projects in the repository. It includes documents that are Incoming, Active, and Retained.

Overload warning colors

By default, IXIASOFT CCMS Desktop is configured to display the following colors under the following workload conditions:
  • Black - the team member is assigned less than 80% of their configured maximum workload.
  • Yellow - the team member is assigned between 80 and 100% of their maximum workload.
  • Red - the team member is assigned more than 100% of their maximum workload.
The numbers and colors are configurable and may be different in your installation.
