Create a Collaborative Review

You can create a Collaborative Review to get feedback from subject matter experts or other users about content.

In the default configuration, you can create a Collaborative Review from a map in any status.
Note: Your deployment of IXIASOFT CCMS might require that maps are in a specific status to create Collaborative Reviews.
  1. Find the map from which you want to create a Collaborative Review.
    You can create a Collaborative Review from anywhere you see the map, such as in Map Editor or your Favorites.
  2. Click More Options icon, and select New Collaborative Review.
    The New Collaborative Review dialog opens.
  3. Enter a title for the Collaborative Review, and click Next.
  4. (Optional): To create a Collaborative Review with a redline comparison, do the following:
    1. Click Add Collaborative Review.
    2. Search for a Collaborative Review to compare with the your new Collaborative Review.
    3. Click radial button for it.
    4. Click OK.
    5. Click Next.
  5. (Optional): To apply a ditaval to conditions in the Collaborative Review, do the following:
    1. Click Add Ditaval.
    2. Search for a ditaval.
    3. Click the radial button for the ditaval you want.
    4. Click OK.
    5. Click Next.
    The Assignments section opens. You are automatically assigned if your active role allows you to change the status of Collaborative Reviews.

    You can click Edit icon to change the assignment or Trash icon to delete it.

  6. Click Add Role.
    1. From the Role drop-down list, select a role.
      The role you pick determines the available users you can assign. If a user has multiple roles, that user can be assigned once for each role.
    2. From the Users drop-down list, select users for the assignment role.

      You can select as many users as you want with this role up to the maximum number allowed. The maximum number of assignees for a role depends on your system configuration for the role.

      Tip: You can type in a name to search for a user. If there are many users (over 250), some users might only appear in the list when you search for them.
    3. (Optional): In the Comment field, add a comment for assigned users to see in the expanded row information of the object.
      Note: This comment is also added to the revision history of the object assigned.
    4. Either enter a date or click Calendar icon to pick one.
      The correct format for dates is yyyy/mm/dd. For example: 2020/12/31.
    5. Pick assignment rules for all the reviewers with that role:
      Assignment rule Description
      Allow users to change status Users can manually change the status of the assignment.
      Note: You cannot select this rule if the role does not already allow users to change the status. This cannot override how roles are configured.
      Mark as finished if everyone is finished The assignment changes to finished for all users only if all assigned users mark the assignment as finished.
      Note: You cannot select this to rule if the role only allows one assignee.
      Mark as finished if at least one person is finished The assignment changes to finished for all users if any assigned user marks the assignment as finished.
    6. Click Add.
  7. (Optional): Add additional roles using the steps above.
    You can only add a role once. All users with that role must be managed through it.
  8. Click Next.
  9. (Optional): To generate a PDF that reviewers can download, select Yes.
  10. Click Create.
CCMS Web starts to generate your Collaborative Review.
Go to your My Outputs page to see the progress and open the Collaborative Review. If you generated a PDF of the Collaborative Review, you can download it from the My Outputs page. Reviewers can download the PDF from the table of content in the Collaborative Review.
Note: If there are errors, your Collaborative Review might fail to be generated in the same way as other outputs. Check the error messages to troubleshoot.
