Allow users to generate output from objects

Prior to IXIASOFT CCMS Web 6.7, users could generate an output only from a map. In CCMS Web 6.7, users can generate an output from a topic, Collaborative Review, or Approval as long as they have access to an output type for these objects.

Users do not see the option to generate an output for these objects until at least one output type is configured for the object.
Note: You should make these configuration changes in the Test environment and test them before copying them to the Production environment. In a dedicated SaaS deployment, after testing the changes, ask IXIASOFT Customer Support to copy the changes to the Production environment.
  1. In TEXTML Administration perspective, right-click the Content Store node and select CCMS Admin > Manage Access.
    The Access Manager window opens.
    Note: IXIASOFT recommends that you avoid directly editing the accessrights.xml file. The Access Manager window has built-in validation mechanisms to reduce errors.
  2. Click the Lock button (lock manager icon).
    The accessrights.xml file is checked out for your exclusive use.
  3. In the Actions list, select the access right for an output type.
    For example, some of the default outputs are Dita2PDF, Dita2htmlHelp, and Dita2xhtml.
  4. Under Conditions, do one of the following:
    • To modify an existing condition, select the condition.
    • To create a new condition, right-click and select New Condition.
    Tip: Keep the number of conditions for any given action to a minimum, and make them as broad-based as possible. The more conditions you configure, the longer the configuration will take and the more adjustments you may have to make to your configuration in future.
  5. Under Status/Type, select all the cycles and statuses for the document type that users want to generate the output from.
    For example, to allow users to generate an output from a topic in any status of the Authoring cycle, you would expand Authoring and select *.
    Tip: If you don't see the document type you want to configure, right-click and select New Type on > doctype, where "doctype" is the document type. To configure an action for all document types, select the asterisk (*).
  6. Under Roles and/or Groups, select all the users who will have access to the selected action.
    For example, in the screenshot below, all users can use the Dita2PDF output type to generate an output from Collaborative Reviews and topics in any status of the Authoring cycle. And users can generate an output from Approvals in Authoring:approved status.

  7. Click Check In Document (check in manager icon).
  8. Inform users of the changes.
    The changes will be applied automatically once users close and then reopen their CCMS Desktop. Users can also apply the changes without restarting their CCMS Desktop by clicking IXIASOFT CCMS > Synchronize Configuration. Additionally, refresh IXIASOFT CCMS Web so that users will see the change reflected there.
