Can I change a user's email address?

You can change a user's email address but it will impact search, assignments, saved queries, and preferences.

Description

Changing a user's email address in users.xml will affect:
  • Assignments in IXIASOFT CCMS Web
  • The ToDo list in IXIASOFT CCMS Desktop
  • Saved queries in IXIASOFT CCMS Desktop
  • Saved preferences in IXIASOFT CCMS Desktop such as column settings, Search view panel layout, and window sizing.
  • Searching for content based on Last Modified By, Assigned To, and Locked By in both IXIASOFT CCMS Web and IXIASOFT CCMS Desktop.
Note: For DSaaS customers, the email address also needs to be changed in Active Directory, so an OTRS ticket must be opened. The email address is used to remind users to change their password before expiry.

Solution

  1. Save a list of assigned documents to reassign after the changes.
  2. Edit the users.xml file to make the email address update.
  3. If the change was made using the TEXTMLadmin perspective, refresh the web server.
  4. Reassign any documents.

If you have a large number of users to update, open an OTRS with Support to see if they can be updated using a script from Professional Services.
