Configure preset release comments

You can configure already set comments, which users can then select when they release document objects.

Note: This can be applied within a Hosted environment, but only within a test server.
For example, the following diagram shows comments that are available to the user:

To define preset comments and the cycles in which these comments are available:

  1. Open the TEXTML Administration perspective by clicking the TEXTML Administration shortcut on the tool bar. If the shortcut is not displayed, follow these steps:
    1. Select Window > Perspective > Open Perspective > Other
    2. Click TEXTML Administration.
    3. Click Open.
  2. In the TEXTML Administration view, double-click the server. If your server is not displayed in the view, you must add it to the view.
  3. When the Connect as dialog opens, type your username and password and click OK.
  4. Double-click the name of your Content Store to open a connection to it.
  5. Locate the comments.xml file in the repository's /system/conf collection.
  6. Right-click the file and click Check Out.
  7. Double-click the file to open it in the editor.
    The <cycle> element specifies the document development cycle where preset comments are available. Add additional <cycle> elements if you want preset comments to appear in cycles other than Authoring.

  8. To create an additional preset comment, create a <comment> element.

  9. Optionally, delete <comment> elements that are no longer required.
    Note: Deleting comments does not remove them from the files where they've already been applied. These comments will continue to appear in views that display release comments.
  10. Save, close, and check in the comments.xml file.
  11. Inform users of the changes.
    The changes will be applied automatically once users close and then reopen their IXIASOFT CCMS Desktop. Users can also apply the changes without restarting their CCMS Desktop by clicking IXIASOFT CCMS > Synchronize Configuration.
