Associate roles with document types

Once you have created roles, the next step is to associate them with document types.

  1. In TEXTML Administration perspective, right-click the Content Store node and select CCMS Admin > Manage Roles.
    The Role Manager window opens.
Note: IXIASOFT recommends that you avoid directly editing the roles.xml file. The Role Manager window has built-in validation mechanisms to reduce errors.
  2. In the Roles list, select the role to configure.
The document types assigned to the selected role, if any, are displayed under Document type.
  3. Right-click in the Document type list and select New Type:

  4. Select one of the following document types:
    • Topic, to associate this role with topics
    • Map, to associate this role with maps (that is, sets of associated topics comprising a multi-file document)
    • Image, to associate this role with image creation or editing.
    • Resource, to associate this role with resources
    • Project, to associate this role with documentation projects
  5. Repeat from Step 2 to associate additional roles with document types.
  6. To save your changes locally, press CTRL+s.
  7. You can now associate roles with timelines. If you do not want to perform this step right away, click Check In Document (check in manager icon) to commit your changes.
  8. Inform users of the changes and request that they close and reopen their CCMS Desktop to apply the changes. Additionally, have an administrator refresh IXIASOFT CCMS Web so that users will see the change reflected there.
