Generating activity reports

The IXIASOFT CCMS Scheduler can be configured so that users can receive notifications when any object (maps, topics, and images) assigned to the user reaches a status that requires the user's action.

The IXIASOFT CCMS activity report is sent as an email and consists of a list of all new documents that are ready for the user and require the user's attention or response. This report is equivalent to the list of new objects added to the user's to-do list.

How is the CCMS activity report generated?

Generating the activity report consists of two steps:
  1. Trigger is executed on status change: When a document changes status (for example, from work to review), the change status trigger is executed. The trigger is run by the IXIASOFT CCMS Desktop, which then creates the ticket that is saved in the Content Store.
    Tickets are created only when they meet specific conditions:
    • The document is assigned to a user.
    • The document has reached a status that requires the user's action.
    • The user has an active role in their timeline.

    For example, if a particular user is assigned the role of reviewer for a document, the user will be notified only when the status of the document changes to Authoring:review (or the equivalent in your configuration).
  2. CCMS Scheduler job is run: When CCMS Scheduler job IXIASOFT CCMS Activity Report runs, it reads all the tickets from the Content Store and processes them. Once the tickets are processed, CCMS Scheduler generates an email notification when the job is executed. All the processed tickets are deleted after the notification is sent, so users will be notified only once.

Report details

Only one email is sent per user per job run. The report is included in the email.
