Generating reminder notifications

The IXIASOFT CCMS Scheduler can be configured so that users can receive reminders when one or more documents with a due date require the user's action.

The reminder notification is sent as an email, one per user per run, listing all the documents that are ready for this user. The CCMS Scheduler sends an email until the object (maps, topics, images, etc.) moves to a status that no longer requires the user's action. You can configure to receive notifications for documents within a certain due date. By default, the notifications are sent for due dates that are within five days of the current date, but you can configure this value. For example, you can receive reminder notifications only for documents with a due date in the next three or six days.

You can also configure the way the email notification is displayed. For example, documents due within the next two days can be displayed in one color, while the rest can be displayed in another. This is configurable in the daily_reminder.xsl template available in the Content Store.

Criteria for generating a notification

The documents must meet the following criteria:

  • Documents are assigned to a user.
  • Documents are assigned a due date.
  • Documents have reached a status that requires the user's action.

Sample report

The daily reminder notification is included in the email. The example below displays a reminder notification showing all the documents that are assigned to a user and that are due in three days or less. Also, the document due in two days is displayed in indigo, while the document with a past due date is displayed in red.
